What is flex office?

Flex office refers to an optimized spatial organization of professional premises. Employees are encouraged to use various spaces depending on the time of day and their needs: open plan, private rooms, relaxation areas… The emergence and subsequent normalization of remote work favor the implementation of Flex Office, which is an advantageous compromise for both companies and employees. Flex Office allows for:
  • Increased capacity for employees,
  • Increased capacity for another company in a coliving setup,
  • Improved quality of life for employees by encouraging remote work,
  • Relocating to reduce rental costs.
According to a DESKEO survey from March 2021, 55% of companies state they are considering a move to Flex Office soon, notably because this type of organization will become a crucial recruitment argument in the coming years. Assessment of your needs

80% of the success of a flex office layout depends on the preliminary
needs assessment. That is why Clue Me developed the “First Meeting” between the Steering Committee and our interior designers. Its goal? To conduct a precise study through a questionnaire and active, guided listening. The 3 fundamental points of this exchange concern:

  • The CEO’s vision for the future of the company and the desired brand image
  • The company’s HR projections over 1 to 3 years
  • The roles within the structure and the interactions between different departments.

Clue Me’s interior designers remind us that Flex Office consists of 3 main areas:

  • An open space with “desk sharing” for operational staff, meaning the ability to sit wherever one wishes, supplemented by phone booths,
  • Fixed and private workstations for roles requiring confidentiality: HR, accounting, legal services…
  • Collaborative spaces, such as relaxation areas, meeting rooms, media tables, tech bars, food labs, coffee stations…

These multiple spaces offer sit/stand positions and encourage more movement toward relaxation areas (phone booths, tech bar…). It is essential to allow the body to vary positions, “which should be mandatory to keep the body energized and avoid back problems,” reminds Kevin, a physiotherapist in Paris.
Finally, we study the efficiency of work surfaces to understand the potential of the offices. This helps determine which spaces to keep, create, eliminate, or sublet, and ultimately, the surface area to allocate to each of the 3 main zones: open plan, private offices, and collaborative spaces.

Office space planning & fit-out plan

All data collected and ideas expressed during the first meeting are then projected in 2D by the interior design team. This presentation, called “first view,” is accompanied by a budget estimate. We then discuss the future organization and layout of the premises. It serves to open up possibilities, project the vision, eliminate paths, and explore others.

Following this meeting, we specify the scope of work, furniture range, materials, deadlines… The goal: create a Version 2 in total harmony with the company’s DNA, within a controlled budget! To refine the details, after a second meeting with the Steering Committee, our interior designers produce a final version, called V3, which represents the definitive project.
Finally, it is up to the Steering Committee to focus on the most creative and enjoyable part: choosing materials and colors! Our interior designers welcome you to our FAB LAB to present carpets, wall tiles, floor tiles, paint swatches, fabrics, colors for aluminum, PVC, and wood structures…

Turnkey project management

Based on the final V3 plans and projects, as well as the expertise of the site manager and foreman, this technical visit allows us to cover the full range of subjects inherent to construction management, such as asbestos, lead, supply and waste management, demolition, electrical (high/low voltage), air conditioning, fire safety, accessibility regulations, plumbing, partitioning…

Nothing is left to chance! Nothing will disrupt the progress of the site, thereby guaranteeing on-time delivery! To achieve this, discussions with the landlord, the inspection office, the health and safety coordinator, and all external stakeholders essential to the project’s completion are carried out at this stage.

The project is then launched and completed as a turnkey solution, involving all trades such as painters, masons, electricians, plumbers, carpenters… right up to the final inspection and furniture delivery!

An office fit-out project takes between 2 and 6 months depending on the scope (simple reorganization or heavy renovation with works). Clue Me establishes a detailed schedule from the start and commits to the deadlines.

Depending on the scale of the work, yes. We regularly organize projects in phases to allow our clients to maintain their activity. We plan a phasing adapted to your operational constraints from the start of the project.

The budget depends on the surface area, the existing condition, and the desired level of finish. On average, expect between €400 and €1,200 excl. VAT/m² for a complete fit-out (works + furniture). We provide a detailed and transparent quote from the study phase.

We work on surface areas from 200 m² to over 10,000 m², mainly in Paris and Île-de-France. Whether it’s an office floor, a complete headquarters, or a coworking space, we adapt our methodology to the scale of the project.

Yes, we offer:

  • A two-year warranty covering installation defects (partner law).
  • Professional liability insurance.
  • Post-project follow-up until total satisfaction: adjustments possible for 6 months.

We mainly operate in Île-de-France (Paris 75 and all departments 77, 78, 91, 92, 93, 94, 95), in Lyon & Rhône-Alpes, but also throughout France. Our offices are located in Paris.
